Who has the obligation to comply with the European GDPR?
All legal entities that come into contact with customer, supplier and employee data must comply with the European GDPR. The Regulations are applied in all Member States of the European Community.
What are the advantages for a company of correctly applying the European GDPR?
The ability to protect its data and those of its customers is synonymous with a good company, as well as being necessary for competitiveness and a good reputation. A company that does not protect its information store will tend to be marginalised by the global market because it will be considered vulnerable to cyber attacks and identity theft and having weakened its guarantees, it will be less competitive!
How long are data stored?
Among the new features introduced by the GDPR there is no obligation to delete personal data, but rather to inform data subjects of the storage time in the information statement. Most problems arise with data processed for marketing purposes. In the EU market, the existence of non-uniform rules and differentiated application methods leads to uncertainty and costs for businesses, and stands in the way of the integration of intra-EU markets and economic activity in member States.

Once the privacy statement and the contact form have been created, you can copy the link directly into your email and send it to all your customers so that they can view your privacy statement, enter their contact details and select their preferences as to the various approvals you have entered in your statement. You will see everything in real time directly in privaceasy’s reserved area.
Can I use privaceasy software even if I am not yet compliant with the European GDPR?

How do I add my privacy statement to the software?
Inserting your privacy statement is the first action you will need to take once you register in privaceasy! The European GDPR has already issued all the guidelines regarding what are the activities or companies that need to comply by drafting a privacy statement. If you do not yet have a privacy statement drawn up with the help of a privacy consultant, we recommend that you contact us to get you started or use our pro-forma editable Templates; vice versa if you already have the document ready you just need to copy and paste it into the appropriate section of the Menu and finish the guided procedure by inserting the various approvals and respective confirmatory double opt-ins. Nothing could be easier.

Of course you can! Even if the vocation and purpose of our software is to digitise privacy statements in order to eliminate paper and be able to manage your privacy in automated fashion, we also give you the chance to add a paper statement. In the approvals section of the software you will find the button “Insert paper approval”. You should click on this, enter your customer’s data and generate the statement in PDF, print it, have your customer read it and sign it with his selection of preferences, take your smartphone and open the App, click on the button “Scan paper information”, scan the QR Code printed on the statement, photograph the pages of the statement and save. That’s it! In the Approval Menu of your account you will find the signed statement with the saved document. Nothing could be easier.
Can I upload multilingual privacy statements?
Of course, the software caters for the uploading of privacy statements in multiple languages so that you can have your privacy statement displayed to all your users in their own language and offer them a dedicated, precise and transparent service, showing attention to the specific aspects and needs of an international market. Not only that, but our App, downloaded by an international user, will identify the language of his smartphone and will adapt accordingly to the language found so that everything becomes easier, simpler and faster!
What is meant by the term "approvals"?
By “approvals” is meant the list of users who have viewed your company’s privacy statement and have expressed any preferences they might have for the purposes you have included in the privacy statement. In this section of the software, you have everything under control and can instantly see what your user’s preferences were or where they are in the approval process.
How do I retrieve my login password?
If you have lost or forgotten your password, go to the access/login screen and click on the “Forgotten your password?” button. Enter your email address and you will receive a link to enable you to replace and/or enter a new password. If you want to change your password go to the “Modify user” area within the software. Please note that GDPR regulations require you to change your password every 6 months!
Can I use privaceasy software for Email Marketing?
Not directly from privaceasy! But our software has been specially designed for this function as well. If you subscribe to Email Marketing software of any kind, you will be able to autonomously export all your contacts from your privaceasy account in the approvals section at any time by filtering them for Marketing YES (i.e. users who have authorised you to send them Marketing emails) and upload them to the Email Marketing software so that they can be sent your advertising emails. The guarantee we offer you is to monitor at any moment and in real time, which are the users to whom you can or cannot send massive Marketing emails in order to protect your company.
Can I export the complete archive of privacy statements?
Yes, of course! In the Approvals menu through the button “Export full archive” you can export all your privacy statements at any time. This feature allows you to export the complete archive of your privacy statements, approvals, approval history and any images of uploaded paper approvals.
What are webservices?
A software system designed to support interoperability and communication between different programs or management systems on the same network or in a distributed context. They are necessary for communication with third-party software and management systems outside of privaceasy. The system is used to receive from privaceasy all the information related to the ruling privacy statement and to record the respective approvals in the privaceasy software. This system is normally used by experts in the field but it can be useful if you want to have privaceasy communicate with one of your management systems that is already in use in your company.
What is a Landing page?
A Landing page in web marketing is a specifically structured web page that the visitor reaches after clicking on a link or advert. It is the pivotal element of any web marketing activity because it turns users into customers. It is necessary to enable users to view, modify, subscribe to and/or update their preference with regard to the privacy statement of a specific company whose purposes they have already approved. For example, you can include the Landing page in the footer of your newsletters so that users can unsubscribe.
How do I use the contact form?
We have included the possibility of creating multiple contact forms managed directly in privaceasy with custom logo and customisable fields in a predefined list. You can therefore send the contact form to the user via email or SMS through a dedicated link and receive his data and preferences on the various approvals simply and quickly. Everything will be processed, saved and synchronised on your account. The contact forms will also be provided with iframe code so that they can be incorporated into your company website
My company employs multiple employees, can they all use privaceasy?
Absolutely, yes! In the “User Management” section of Administration you are able to create new users such as other administrators or employees who will have certain functions available with others hidden in order to preserve and safeguard your management as administrator. You can modify the information or delete a particular user you have created at any time.
Is there an “instruction manual” for the software?
There is a special section of the GDPR SOFTWARE menu on the website called “functions” in which there are various BOXES to help you understand the various steps and with indications of the many functions of the software. How long does the trial period last?
Privaceasy allows you to subscribe for free so you can try out the management software. The trial period is 2 months without limits of documents/approvals created. In case you don’t want to subscribe immediately we don’t cancel your account but we allow you to come back at any time to subscribe and start working with us. We are sure you will start right away!
What differences are there between the privaceasy pricing plans?
The pricing plans differ from one another in the number of documents/approvals. We therefore recommend that you evaluate how many customers and/or suppliers you interact with and purchase the appropriate subscription package. In case you exceed your limit of documents/approvals, don’t worry, with a small subscription upgrade you can immediately increase your package.
How do I renew my privaceasy subscription?
By default privaceasy renews your subscription automatically until you run out of space for your contracted documents/approvals, so you don’t have to renew every month or year. If you wish to deactivate the automatic renewal, you can click at any time on the appropriate button in the “Company Management” section in Administration and you will receive alerts when it nears expiry.
Which and how many SMS packages are utilised?
We provide you with subscription packages of from 100 to 10,000 SMS and even more if requested, at affordable prices and with unlimited usage validity over time.

Simple! The speed of action and instant confirmation of a particular phone number. What means of payment are accepted?

Where are the invoices?
As required by law we will send you regular electronic invoices with the indications you provided when registering with privaceasy. We help you to speed up the process of acquiring your users’ preferences and to organise and store them under a single tool so that you can be GDPR-compliant and implement all the actions the particular user has approved (such as sending them email marketing or not).
What is the Double opt-in?
The Double opt-in (also known as confirmed opt-in) is a procedure that, once we receive an initial acceptance from the user, represents a further step towards confirming a particular registration or consent preference for a particular approval. Once the user has subscribed or expressed a preference, a second click is needed on a link in the confirmation email sent automatically by the software to the email address indicated. This is a secure method for ensuring that the email address entered is valid and actually owned by the user. In privaceasy we give you the option and not the obligation to do this by email or SMS (if you purchased the relevant package).
How do I use the QR Code?
The QR Code is a two-dimensional square-shaped barcode used to store information and is generally intended to be read by a smartphone. Once your company’s privacy statement has been uploaded, your dedicated QR Code corresponding to your privacy statement will instantly be created. This is the main tool for interaction with the privaceasy App. Wherever you are, you can have your customers scan the QR Code with their smartphones and let them view your privacy statement and approve the various preferences. What is the flyer for?
Imagine you’re in the office and a new customer comes in. You will have printed your dedicated flyer with your privacy statement’s QR Code stamped on it. What does profiling mean?

What means of payment are accepted?
Privaceasy uses two of the main and safest means of payment and money transmission on the world market: PayPal and Stripe. As you surely already know they are a guarantee and offer broad-based protection to consumers.
Where are the invoices?
As required by law we will send you regular electronic invoices with the indications you provided when registering with privaceasy. In the Administration-Management section we will still upload your debit notes so that you have everything under control without having to open your electronic invoicing software
What is a touchpoint?
Your privacy statement can be viewed by users through various tools (i.e. touchpoints or contact points) such as the QR Code, website, contact form or landing page. We help you to speed up the process of acquiring your users’ preferences and to organise and store them under a single tool so that you can be GDPR-compliant and implement all the actions the particular user has approved (such as sending them email marketing or not).
What is the Double opt-in?
The Double opt-in (also known as confirmed opt-in) is a procedure that, once we receive an initial acceptance from the user, represents a further step towards confirming a particular registration or consent preference for a particular approval. Once the user has subscribed or expressed a preference, a second click is needed on a link in the confirmation email sent automatically by the software to the email address indicated. This is a secure method for ensuring that the email address entered is valid and actually owned by the user. In privaceasy we give you the option and not the obligation to do this by email or SMS (if you purchased the relevant package).
How do I use the QR Code?
The QR Code is a two-dimensional square-shaped barcode used to store information and is generally intended to be read by a smartphone. Once your company’s privacy statement has been uploaded, your dedicated QR Code corresponding to your privacy statement will instantly be created. This is the main tool for interaction with the privaceasy App. Wherever you are, you can have your customers scan the QR Code with their smartphones and let them view your privacy statement and approve the various preferences. Nothing could be faster, more intuitive or in step with the times!
What is the flyer for?
Imagine you’re in the office and a new customer comes in. You will have printed your dedicated flyer with your privacy statement’s QR Code stamped on it. All your customer has to do is go into the privaceasy App, scan the QR Code with his smartphone’s camera, view the privacy statement and approve his preferences regarding the purpose you have included in the statement. You’re done! Everything is GDPR-compliant and the customer has a digital copy of the privacy statement in his hands.
What does profiling mean?
Any form of automated processing of personal data consisting of the use of such data to assess particular personal aspects relating to a natural person, in particular for analysing or predicting aspects relating to the professional performance, economic situation, health, personal preferences, interests, reliability, behaviour, location or movements of the natural person.
What does “third party dissemination” mean?
It means informing indeterminate subjects of the data, in any form whatsoever, including by making them available or for consulting them. Dissemination is therefore present even when for example something is published online, or a photograph is posted on a social network. In the absence of consent, such activity must be considered illegal.
What is the iframe code?
It is a code that allows developers to insert frames in a web page to create real “windows” holding content independent of the rest of the document, such as the privacy statement and the contact form.
