Approvals list

The list of approvals is the heart of privaceasy: from here you can monitor the situation of each individual contact, check if you have seen your privacy policy and what are your preferences regarding the approval boxes you set.

You can also detect from which tool or touch-point (contacts form, landing page, webservice, QR Code, information paper privacy) a contact has last updated their preferences and understand what kind of activities you can perform.

By detecting when the last update was performed, the tool and possibly the ip address used, you will always be able to prove the correct application of GDPR.

Historic approvals

From the details window (accessible by double-clicking on the contact) you can access the approval history that allows you to monitor the different activities carried out by the contact demonstrating at all times chronologically what his preferences justifying the activities you have carried out (e.g. newsletter).

Modification

Also from the details window you can manually update the contact preferences always and only in downgrade, then set a box previously set to “yes/true” to “no/false”.

This activity is necessary as a result of written and/or telephone requests to change the preferences of a particular customer or contact. To return the condition of the box to “yes/true” a new approval of the privacy policy is required through one of the allowed tools or touch-points (privaceasy App, contact form, landing page, webservice).

It is possible to import existing contacts via a CSV file compatible with our track. The contacts imported in this way will need to be activated: you will need to send an email communication to allow you to view the privacy policy set and express your preferences (see. next export procedure).

Export

The export procedure acts on the selected contacts thanks to the filter system. Clicking on the appropriate buttons opens the window that generates our CSV file asking you to indicate a reference “landing page”: the landing page is the tool through which the contact can update their privacy preferences.

The Export procedure is primarily intended to prepare a list of contacts to send communications to (e.g. each contact must have the opportunity to update their preferences following a communication, the landing page is the tool that allows you to do so.

Privaceasy gives you the opportunity to save a copy of your complete archive at any time, both of the privacy database and of any paper-based privacy information that may be signed.

Our filter system allows you to make a series of selections to find a specific contact rather than a series of contacts that have approved the privacy policy and on which it is therefore possible to carry out massive operations (e.g. export for sending newsletters).
